We are currently seeking talented individuals for our Sales Coordinator position!

Here is some of what you’ll do…

POSITION SUMMARY: Under the general supervision of the Sales Operations Supervisor, the Sales Coordinator provides administrative support in the areas of machine and accessory ordering, inventory, transfers, and record keeping. The Sales Coordinator is responsible for timely recording and maintenance of EMS inventory and sales related information.

Responsibilities

ESSENTIAL FUNCTIONS:

  1. Places orders with the manufacturer under the guidance of the Sales Operations Supervisor.
  2. Tracks shipping dates on all orders placed with the manufacturer. Follows up on machine orders with the manufacturer and advises sales personnel of order status.
  3. Coordinates with inland freight forwarders, ocean carriers, and freight consolidators for delivery of equipment from the manufacturer to destination.
  4. Upon arrival of equipment, coordinates pickup and prepares service requests for assembly and delivery. Is responsible for following up on the payment of any claims pertaining to shipping damaged incurred.
  5. Coordinates the transfers of equipment between branches. Prepares bill of lading and letter of authorization for transfers.
  6. Prepares and distributes material handling inventory stock list availability report.
  7. Arranges for preparation, hauling, and documentation for equipment sold.
  8. Coordinates rentals, prepares rental agreements, and initiates billing.
  9. Ensures that there is an adequate supply of product brochures/specification sheets and orders, as needed.
  10. Handles customer inquiries in the absence of the Sales Operations Supervisor and sales personnel. Researches and responds to telephone inquiries from internal and external customers regarding equipment (identification, delivery date, billing dates, vendor invoice coding, etc.).
  11. Codes vendor invoices, including matching with correct purchase orders, obtaining necessary manager’s approval, routing originals to the Accounting Department, and making copies for files.
  12. Assists in the annual equipment physical inventory taking in Waipahu.
  13. Assists in coordinating arrangements for customer meetings and seminars, including sending invitations.
  14. Performs all other duties as assigned.

Qualifications

EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:

  1. Must have a high school diploma or equivalent.
  2. Must have a valid Drivers License with a good driving record.
  3. Must have PC skills, including Microsoft Office.
  4. Must communicate with customers in a courteous and professional manner.
  5. Must maintain a high degree of accuracy when performing all responsibilities.
  6. Must have good organization and communication skills.

PHYSICAL DEMANDS:

  1. Walking: Moves about on foot, often up and down stairs.
  2. Handling: Seizes, helps, or works with hands.
  3. Lifting: Raises or lowers miscellaneous paperwork.
  4. Reaching: Extends hands and arms in any direction.
  5. Stooping: Bends body downward and forward by bending at knees or waist.
  6. Standing: Remains in standing position if required to perform various functions of the job.
  7. Vision: Reads paperwork, employment files, and records on the computer.
  8. Talking: Communicates by radio, phone, and in person.
  9. Sitting: Sits at desk for extended periods

ENVIRONMENTAL:          

  1. Noise: Works in conditions with constant or intermittent noise.
  2. Temp/Weather: Works in an office environment.
