  • Overview

    POSITION SUMMARY:  The technology coordinator provides office services and support by implementing administrative systems, procedures and policies; monitoring projects and communicating effectively with Management. Must be a motivated self-starter and is responsible for ensuring that the highest level of customer service is provided to our clients as well as complete support through various clerical tasks as requested by management. This position requires the ability to multi-task at a high level.

    Responsibilities

    ESSENTIAL FUNCTIONS:

    1. Greet customers when they walk in. Assist with POS Counter Sales and walk-in customer traffic.
    2. Assist in invoicing for Sales & Rentals, ensuring all documentation is both thorough and accurate.
    3. Serve as an entry point for customer service helpdesk - gathering information and forwarding requests to appropriate installation team and/or support persons; process and triage customer service calls.
    4. Assist in opening and closing work orders, ensuring all documentation in both thorough and accurate.
    5. Must complete miscellaneous clerical tasks including filing, answering multiple telephone lines and dealing with internal and external customers.
    6. Assist with Purchasing equipment; tracking its progress before delivery; receiving the inventory; tracking serial numbers, and help management maintain inventory accurately and current.
    7. Schedule deliveries and pick-ups.
    8. Initiates rental contracts, ensures rental invoices are billed properly and equipment is returned at end of rental period. Maintains and updates rental contracts.
    9. Keeps phone log of incoming calls.
    10. Responsible for petty cash - recap the cash box when money is low to replenish funds.
    11. Arrange flights and other associated travel needs for technicians, salespersons and manager's business travel.
    12. Order lunch, take and distribute minutes during meetings.
    13. Maintain supplies inventory by checking stock to determine levels. Anticipate needed supplies; place & expedite orders and verify receipt.
    14. Responsible for checking Time is coded correctly for work orders and for payroll purposes.
    15. Maintain Workflow by studying methods; implementing cost reductions and developing reporting procedures.
    16. Create & revise systems and procedures by analyzing operating practices and recordkeeping systems.
    17. Help to develop administrative staff by providing information, educational opportunities and experiential growth opportunities.
    18. Resolve administrative problems by coordinating preparation or reports, analyzing data and identifying possible solutions.
    19. Maintain rapport with customers, managers and employees by arranging continuing contacts, researching and developing new service and methods; setting priorities; resolving problem situations.
    20. Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs, maintaining equipment inventories; evaluating new equipment and techniques.
    21. Provide information by answering questions & requests.
    22. Maintain continuity of work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs.
    23. Assist Management to guide employee actions by researching, developing, writing and updating administrative policies, procedures, methods and guidelines.
    24. Completes operational requirements by scheduling administrative projects; expediting work results.
    25. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
    26. Contributes to team effort by accomplishing department and organization mission by completing related results as need as well as any other duties as directed by the General Manager.

    Qualifications

    EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:

    1. Must have a minimum of two year’s general office experience.
    2. Must have a high school diploma or equivalent.
    3. Must have working knowledge Microsoft Office Suite, specifically Word and Excel and PC familiarity.
    4. Must have a valid Hawaii Class 3 Drivers’ License with a clean driving record.
    5. Ability to multi-task and establish priorities, be professional and organized and a problem solver.

     

    TESTING REQUIREMENTS:  Applicants may be required to pass a written and/or oral examination before being considered for employment in this position.

     

    PHYSICAL DEMANDS:

    1. Walking and moving about on foot often up and down stairs.

    9. Sitting:           Sits at desk.  Sits for long periods of time.

     

    ENVIRONMENTAL:          

    1. Noise: Works in conditions with constant or intermittent noise.
    2. Temp/Weather: Works in an office environment.
